The scheduler receives routine functional guidance from the Central Scheduling Supervisor and the Supervisor of Admitting/Registration to make appropriate patient referrals.
The scheduler schedules approximately 60 patients per day and has the authority to make appointments for hospital departments according to the schedules they provide.
The scheduler will follow very specific protocols in scheduling and the collection of financial information, in accordance with TCJ, federal, state, and local guidelines, organizational and departmental policies, and procedures.
STANDARDS OF PERFORMANCE The Scheduler assures that patients have all information they need so that they will arrive on time and prepared for their procedures and that the hospital has all the information required to bill properly for its services.
Advise patient of possible financial obligations and insurance requirements.
Handles customer account transactions, provides customer assistance including dealing with physician concerns, and ensures insurance data is collected, complete, and accurately to alleviate authorization issues.
Understanding of exams that may require prior authorization.
Obtains available authorization numbers and additional pertinent documentation to support the financial clearance process.
Provide general information about the hospital and its services.
Requests an accurate clinical history as necessary for the exam.
Provides instructions and specific preparations to the individual scheduling the procedure.
Effectively communicates with patients, families, and healthcare team members about the time of visit, visit expectations, facility directions and access to New Patient paperwork.
Receives requests to schedule procedures from physician offices and patients and schedules the procedure according to the availability of the various departments.
Provides accurate information so that all departments may view and print the schedule for the appointments daily and maintains open communication with hospital departments regarding schedule changes.
Works as part of a team for the overall process for patient access, from the scheduling process until completion of procedure.
Processes cancellations and rescheduling quickly and accurately.
Provides accurate and timely answers to all inquiries, whether from patients, MD offices, or other hospital areas.
Exercises good judgment in seeking advice from supervisor in circumstances where the schedule cannot accommodate client needs in a timely manner.
Receives, places, and transfers call in a tactful and professional manner.
Operate a variety of standard office machines, including a personal computer and a variety of computer software, phone, fax, and photocopy machine.
Demonstrates regular, reliable, and predictable attendance.
Medical terminology required for reviewing orders and verifying procedures versus diagnosis Works STAT orders same day including authorization Adapt to frequent daily changes within the workflow Works assigned orders from E-Clinical Follows up on pending authorizations Answer multiple phone calls and responds to voice mails within a fast-paced work environment Other duties as assigned Requirements:
Minimum Level of Education:
Education level equivalent to completion of High School.
Prefer College Degree courses in Business, Healthcare Administration, Finance, Billing, or equivalent experience.
Formal Training:
Ability to work with speed and accuracy while completing multiple projects.
Must be highly skilled in customer service, verbal and written communications, problem-solving, organizing, and prioritization.
Knowledge of medical terminology and familiarity with medical diagnostic procedures, and health care billing and authorization is a plus.
Licensure, Certification, Registration:
Not required.
Formal training preferred Work
Experience:
Two years of experience in the healthcare field required.
Previous experience in appointment scheduling in a health care environment (e.
g.
, physician office, clinic, or hospital) and working with insurance authorization departments and contracts preferred.
Computer Skills:

Estimated Salary: $20 to $28 per hour based on qualifications.
